Once your agreement is signed, we get started right away.

Your board receives a fillable onboarding form along with a list of the documents and details needed to begin setup, configure permissions, and open new accounts.

This is the foundation for a smooth transition, so the timely delivery of documents matters.

HOA My Way Owns:

Sending onboarding forms, outlining requirements, and reviewing submitted materials.

Your Board Owns:

Completing the onboarding form and providing the requested documents and community information as early as possible.

2. Processing & Configuration

With the right information in hand, our team begins the behind-the-scenes work that powers a stress-free switch.
We start transferring community records, opening new bank accounts, and processing credit card merchant account setup.

Once the new bank accounts are ready, your board will receive secure instructions to transfer community funds.

HOA My Way Owns:

Record transfer, account setup, merchant processing coordination, and system configuration

Your Board Owns:

Reviewing setup details and completing secure fund transfer steps when needed

3. Team Training

Before your official start date, all board members are invited to training on the different portals and the functions they will use most.

This is also the time when we review your community’s system configurations and permissions, so your team starts with the right access and a stronger understanding of how everything works.

Training, configuration review, and permissions guidance

Your Board Owns:

Attending training, asking questions, and confirming user access needs

4. Communication

Clear communication helps create transparency and continuity during the transition.

Before your start date, homeowners and vendors receive notice of the move to HOA My Way by email and/or mail.

On the first mailed homeowner billing statement, residents receive a unique setup code for the Homeowner

Transition communications, billing preparation, and portal setup instructions

Your Board Owns:

Helping reinforce communication and directing residents to the appropriate support path when needed

5. Official Start & Support

Your official start date is when your community begins using HOA My Way in real time. But onboarding does not stop there.

Your onboarding team continues to support your community during the first 90 days to help ensure a smooth transition.

Communities should expect their first monthly financial reporting within 60 days of transition and will receive communication from their dedicated accountant throughout the process.

Launch support, transition guidance, financial reporting rollout, and ongoing communication

Reviewing early reports, continuing adoption, and raising questions early so issues are resolved quickly
